First Aid Policy

 

1. Introduction

At Crossroads Educational Consultants, the health, safety, and welfare of our students, staff, and visitors are of paramount importance. We are committed to ensuring that effective first aid arrangements are in place wherever our services are delivered including at our exam centre, in community settings, and during home-based sessions.

We recognise that many of our activities take place outside traditional classroom environments. Therefore, we ensure that appropriate, proportionate, and responsive first aid provision is always available.

2. Aims of the First Aid Policy

The aims of this policy are to:

  • Ensure the safety and wellbeing of all students, staff, and visitors during Crossroads activities.
  • Provide suitably qualified first aiders across all settings.
  • Ensure first aid arrangements are proportionate to identified risks.
  • Comply with relevant health and safety legislation and recognised best practice guidance.

3. First Aid Provision at the Exam Centre

  • At least one qualified first aider will be on site at the exam centre during all opening hours.
  • A fully stocked first aid kit is located in the kitchen and is accessible at all times.
  • A physical accident book is maintained on site for recording any incidents or first aid administered.
  • Emergency procedures are in place and communicated to all staff.

4. First Aid Provision at Offsite Locations

  • All session leaders are trained to a minimum of Level 2 First Aid.
    • A first aid kit will always be available during offsite activities:
      • Carried by staff during outdoor learning sessions; or
      •  Available on site at the venue being used.
  • An online accident reporting system is used to record any incidents or first aid administered during offsite activities.
  • Activities are risk assessed in advance, taking into account the environment and planned activities.

5. First Aid in Home-Based Sessions

  • During home-based tuition sessions, students remain under the supervision and care of their parents or carers.
  • Parents/carers are present throughout sessions and retain primary responsibility for first aid.
  • Consultants act in a supportive role and may assist in an emergency where appropriate; however, overall responsibility for first aid provision rests with the family.

6. Risk Assessments and Emergency Procedures

  • Comprehensive risk assessments are completed for all activities.
  • Particular attention is given to outdoor learning, physical activity, and off-site visits.
  • Risk assessments include:
    • Medical needs of participants
    • Availability of first aid provision
    • Emergency access and exit routes
    • Communication procedures
  • All staff are trained to follow emergency procedures, including contacting emergency services where required.

7. Record Keeping and Reporting

  • All first aid administered is recorded appropriately in line with the setting:
    • Physical accident book at the exam centre
    • Online reporting system for offsite activities
  • Parents or carers are informed of any injury or treatment given.
  • Significant incidents or injuries are documented, reviewed, and used to inform future risk management and best practice.

8. Monitoring and Review

This policy will be reviewed annually, alongside risk assessments and wider health and safety procedures, to ensure continued effectiveness and compliance with current legislation.
